The Executive Administrative Assistant will be responsible for enhancing the CFO's & VP of Human Resources effectiveness by providing information and management support; representing the Executive to others.
Perform administrative duties for executive management. Responsibilities may include screening calls, making travel and meeting arrangements, preparing reports and financial data and customer relations. Require strong computer and internet research skills. Also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. The applicant must be well organized and able to prioritize.
Relieve management of administrative detail for all projects
Coordinate work flow
Update and track delegated tasks to ensure progress to deadlines
Take initiative in executive's absence
Keep projects on schedule
Draft correspondence/reports for own or executive's signature
Arrange essential mail in priority action order for executive
Check deadlines on incoming requests and put preliminary work in action
Process replies on own initiative or from executives' direction's
Research, draft or abstract reports
Update, manage and maintain contact information
Handle all inquiries within capacity
Arrange callbacks to protect executive's time
Provide back-up materials for callbacks
Maintain calendar; ascertain which events require executive's presence
Fix commitments to maximize executive's time efficiency; allow decision/desk time
Manage executive calls and or chairs meetings:
Prepare agenda in advance
Arrange meeting facilities
If requested act as a recording secretary; prepare action minutes
Arrange travel through internal or outside agents
Prepare itinerary, trip file and supplies
Prepare expense report tools for executive
Qualified individuals must be highly flexible and proactive in all areas of their work and possess a positive attitude. Additional skills include:

Years as an Administrative Assistant to a CFO, VP of Human Resources, or Executive Level Members.
High attention to detail with the ability to multi-task and prioritize with confidence
Strong skills with all Microsoft Office products especially with Outlook, Excel and PowerPoint
Experience managing multiple schedules, facilitating travel and managing expense reports
Problem solving and resourcefulness
Flexibility in handling tight deadlines with a high degree of professionalism
